Cancellation Policy

Goal: As a provider, I want to define and enforce a clear cancellation policy so clients understand expectations, cancellations are handled consistently, and billing is automated instead of relying on manual notes.

Scope:

  • Ability for providers to create a cancellation policy with flexible rules
    (e.g., “Free cancel up to 24 hours before start time”, “50 percent charge inside 24 hours”, “Full charge inside 6 hours”).

  • Display the cancellation policy publicly

    • Shown on the online booking page, confirmation emails, and client portal views

  • Automated billing for cancellations

    • When a booking is cancelled, automatically generate the correct charge or fee based on the policy

    • Add the charge to the invoice (or generate a new invoice if none exists)

Stretch goal:
Allow clients to cancel bookings online according to the policy

  • The system verifies whether they fall inside or outside penalty windows. The provider can optionally require approval
